Our Event Policy

Dual Use Facility:

Bienvenue Mon Ami Bed and Breakfast is a fantastic site that is providing two functional elements (Bed and Breakfast Rentals and Event Facilitation). To accomplish this in a way that pleases all our visitors, we have to establish a few operating policies. We are an operating Bed and Breakfast and must keep certain areas available to our Bed and Breakfast guests that do not want to be burdened with interfering events.

What Constitutes an "Event":

All "events " will require incremental fees to acquire facility usage.  An "event" is any activity which involves guests not staying overnight as either a registered glamping guest or as a registered room guest. Bienvenue Mon Ami Bed and Breakfast also has a strict policy of no more than two overnight guests per room and no more than four overnight guests per glamping site. Overnight glamping rentals are adjusted based on the number of occupants.

Tax Savings and Incremental Costs:

All our quoted event prices do not include applicable taxes, gratuities, increased base fees for parties in excess of quoted ready attendance availabilities and 3.5% credit card fees for any amounts charged.  These elements will be costs above the event quoted prices.  An interesting bonus you have for choosing Bienvenue Mon Ami Bed and Breakfast for your event is that our location's net sales tax is one of the lowest in Louisiana.

Main House For Bed and Breakfast Guests:

Unless a Main House event has been pre-arranged, guests not booking a room (e.g. those attending an event but not staying overnight) in Bienvenue Mon Ami Bed and Breakfast are not allowed access to the hot tub and interior common areas; such as the living rooms, kitchenette space, breakfast areas, or game room. Guests not booking a room could be event only attendees such as dress the bridal party members, wedding guests, businessmen, other parties, any gatherings or photo shoots.

Owner Events In Main House Guest Areas:

    Day Events:

On occasion, small luncheons or events organized specifically by Bienvenue Mon Ami Bed and Breakfast may be held between the hours of Noon and 3PM in the common dining areas.  If you have a desire to hold a luncheon, a business conference or team building function in this window, contact us at 985-634-7786 with at least two weeks notice to determine availability. 

    Evening Events:

At least twice a year the owners will be organizing art events or other special common area evening events. Guests desiring a room when we are having an evening event will be informed when the event was scheduled and they will be given the option to either change dates or in some cases attend the event.

Time Allocations by Event Venue and Type:

  • All gazebo area events are not allowed until the gazebo repairs are complete (expected by YE2021). When finished, the specific gazebo rentals will be given unrestricted access to the gazebo and attached concreted area from 10 AM to 5 PM.  All decorating and clean-ups must be made in this time window on the day of the event.  
  • When no events are scheduled in our gazebo and after it has been refurbished, the gazebo area is available for usage by Bienvenue Mon Ami Bed and Breakfast overnight guests.  When events are scheduled at the gazebo, our overnight guests will still have access to a picnic area on our pond's dam. This area on the dam is always restricted to over-night guest usage only.
  • Unless special permissions (with potential increased costs) are obtained, main house business team building exercises and conferences will have full main house event accesses from 7 AM to 5 PM. 
  • Receptions/dining events near or in the main house are limited to 3 hours.
  • Evening event guests not staying over-night cannot arrive before 3 PM and will have to leave the facilities by 10 PM
  • Any main house common area evening or full day usage events are required to have rented all four rooms and both glamping sites whenever the event is in session. This allows the event to get full indoor facility usage without disturbing any non-event guests.
  • Any main house common area usage events, except Bienvenue Mon Ami organized luncheons and wrap-around porch weddings, that require the times between 11 AM and 3 PM will require the full facility rentals (4 rooms and 2 glamping sites) for the night before AND the night after the event.
  • All events involving any non-overnight guest must be concluded by 9 PM and cleaned up by 10 PM.

Events Exceeding Allotted Time:

Except for the 100 $/half hour photo session extension fees, any non-overnight guest exceedances of event time allocations will incur a $300/hour cost increment.

Room and Glamping Rental Requirements for Main House Events:

Only registered over-night guests and events that have rented ALL of our rooms and glamping sites for the day (between 3PM to 11AM) may use these areas reserved for the Bed and Breakfast guests.  Except for Bienvenue Mon Ami Bed and Breakfast organized special events and our wrap-around porch marriage packages, if these facilities are desired for an event with times between 11AM and 3PM; two days of the full facility (all 4 rooms and 2 glamping slots) must be rented.  An “event” must be held within the pre-agreed locations. If you desire to rent the whole facility for the common area use and any room or glamping site has already been rented for any of the nights you desire, you will not have the option to rent the entire facility to gain use of the common areas for your event unless the renter(s) are all part of your “event".

Special EventConsiderations

  • All noise levels must be held to reasonable levels. Any loud disturbances will be required to either stop the noise mechanism and/or reduce the volume levels.
  • To expand the area that your guests can enjoy and assure more complete privacy for your event, we urge you to book all our Guest Rooms and Glamping sites on the day(s) of the event.
  • Also,  Bienvenue Mon Ami Bed and Breakfast can provide assistance with securing a wedding officiant, increased security and/or suggesting/acquiring entertainment options 

Simultaneous Events:

Simultaneous gazebo and main house events for differing groups or parties may be scheduled. Main house events require the event organizers or associated event participants renting all 4 rooms and both glamping sites. When simultaneous events are occurring, the main house common area powder room will be made available to both events. Tent based outdoor receptions will be required to rent the Hydrangea Room at the published daily rates when the reservation is made. This is necessary for that event to gain access to that outdoor direct access bathroom for their non-overnight guests. Tented or outdoor reception/dining events will preclude a second event groups use of the Main House facilities as Tented Reception/Dining option is required to rent the Hydrangea room. The main house available rooms and glamping sites could be in Bed and Breakfast overnight guest use only simultaneously with a Gazebo and/or Tented reception/dining event.

Facility Usage and Improvements/Refurbishments:

All events are subject to availability and periodically areas will be experiencing improvement developments and/or refurbishments. Bienvenue Mon Ami Bed and Breakfast will always strive to schedule realistic commitments; however, unexpected events or elements beyond our control could cause your event venue to become unexpectedly unavailable. As soon as we can determine that any of our commitments may not be feasible, we will inform the clients and endeavor to reschedule the event for another date.  If the event issue was a result of elements within Bienvenue Mon Ami Bed and Breakfast's ability to control, a cancellation with a full refund will be an option offered.

Gazebo Area Developing Capabilities:

Our gazebo area availability is anticipated to restart in late 2021 . The powder room in the guest area of the main building currently provides the closest toilet access.  Landscaping and surrounding area enhancements are still planned to be under development throughout all of 2021 and 2022..  Any gazebo area events desired or scheduled should be aware of these potential access limitations.

Catering, Dining and Pricing Considerations:

Overnight guests are always welcome to bring their own food and beverages for their personal consumption. The main house common areas are generally dedicated for overnight guest usage.  With prior approvals, event renters and organizers can arrange for their own catering and set-ups for non-overnight guests as long as these set-ups have no potential to disturb any non-event guests.

Event facility rentals are discounted in the base pricing when catering with delivery and set-up is ordered through Bienvenue Mon Ami Bed and Breakfast. Events bringing set-ups, food and/or beverages for non-overnight guests that were not ordered through Bienvenue Mon Ami Bed and Breakfast will incur slightly elevated base facility use fees and/or clean-up deposits. The extent of allowed facility use for events not utilizing our catering services will need to be pre-arranged with Bienvenue Mon Ami Bed and Breakfast.  Deposits for clean-ups potentially not done in a timely manner by these caterers will also be required.

Common Catering Options:
Our Standard Reception/Dining Basic Menu has  featured the following items:

  • Mini Boudin Eggrolls *
  • Finger Sandwiches Muffuletta, Ham, Vegetarian *
  • Fresh Fruit Display with Strawberry Honey Dip *
  • NOLA East Meatballs with Hoisin Honey Dip *
  • Beverages including water, non-alcoholic punch, sweet & unsweet tea *
  • Smoked Chicken Bouchees with Pecans and Grapes
  • Lump Crab cakes with Tabasco Remoulade
  • BBQ Shrimp with Vermont Cheddar Grits
  • Buttermilk Chicken Waffles with Bacon Maple

* Asterisked menu items can also be served as pre-meal appetizers that can also readily be applied to our appetizer only events. The other items are generally served plated or in buffet style. Cheese, vegetable and dessert trays/services can be added to the basic reception menu for an added cost and are also available for any appetizer/dessert events. Our caterers have diverse menu capabilities. If you have a desire for a special food item, ask us to see if it can be arranged.

**Included in our typical pricing is a per person charge for all necessary linens, chairs, tables, plates, utensils, and cups.  Tent options vary in cost depending on the tenting coverage desired.

Damages Incurred:

Damages incurred by participants of an event or by a Bed and Breakfast guest will be charged to the event or rental credit card on file with a 3.5% processing fee.

Payment Schedules:

For events, a 50% non-refundable deposit is required to hold the date (requires an estimated attendee count). Account are required paid with non-refundable funds to 75% of an adjusted estimate 30 days before event. The adjustments allowed include a final adjustment to attendee count. Final Payment for remaining funds are due the day of event.

Improving Impressions:

The Bienvenue Mon Ami Bed and Breakfast estate is perfect for a more intimate second marriage or for any venue with your closer friends and relatives. Our basic package will impress your guests and make for a memorable wedding or special event. Bienvenue Mon Ami Bed and Breakfast has several options that can make your events even more impressive.

     Additional Cost Options:

  • Wines, Beers, Champagnes, Alcohol from our 3rd party vendors
  • Flowers for tables, bouquets for bride and attendant, boutonnieres for groom and attendants
  • Wedding Cake and other Unique Dessert options
  • Additional menu items
  • Depending on their availability, Bienvenue Mon Ami Bed and Breakfast can attempt to acquire entertainment.  Entertainment arranged by the customer must be approved by Bienvenue Mon Ami Bed and Breakfast.   For main house events, you will be given access to our blue tooth / WiFi Bose sound systems.
  • Our venues readily provide a comfortable setting for parties up to the ready attendance counts quoted for the event and venue. Events in excess of these head-counts can often be accommodated with incremental facilities.  If you need larger events, work with us to determine feasibility and estimates.   
  • Larger and unusual events will also require increased security and parking management costs.
  • When outside food or beverage not supplied by Bienvenue Mon Ami Bed and Breakfast or their hired sub-contractors is used, a 250$ potentially refundable deposit for clean-ups not done in a timely manner will be required.
  • Fees quoted above are largely based on 3rd party vendor quotes to Bienvenue Mon Ami Bed and Breakfast.   As such, advertised rates are not guaranteed until reservations and planning are completed.
  • Event planners are under contract with Bienvenue Mon Ami and we can arrange them to facilitate your event when desired.

Bridal Party Additional Information:
  • Bienvenue Mon Ami Bed and Breakfast must be contacted within a week of the event to be sure we are aware of the finalized needs of the bridal party.
  • Rental of guest rooms do not include the Dress The Bridal Party option unless that package is specifically purchased. (In other words, bridesmaids are not allowed to dress in a room rented by the bride without the Dress The Bridal Party event option being purchased.)
  • If photographs are to be taken outside of the room (with bridesmaids, family, etc.), please see our photo shoot policy below for incremental charges.
  • Including wine and champagne, where you must get prior approval from Bienvenue Mon Ami Bed and Breakfast, incremental outside food or beverages may be brought into each rented room for the Dress The Bridal Party event. However, unless all 4 rooms and both glamping sites are rented for the event, only those staying overnight are allowed to utilize the common areas for food and beverage consumption. In other words, without renting all 4 rooms and the 2 glamping sites as part of the event, the common areas are not available for guests who are not registered as renting overnight.  
Photoshoot Additional Information:
  • The Photo Shoot must be paid in full in advance, with a credit card on file to be charged if photoshoot exceeds the paid time.
  • Clients are to provide their own photographer (Bienvenue Mon Ami Bed and Breakfast can suggest local photographic professionals).
  • When necessary, a space will be provided for brides to change before and after the photoshoot. Please arrive with hair and makeup done as there will not be space or time provided for this.
  • Photos taken outside are considered part of the photo shoot and must be taken in the hour provided.
  • Photos are allowed only in the designated areas stated on the Event page.
  • No furniture moving is allowed.
  • Breakage or damages will be charged to your credit card.
  • Bridal/wedding parties renting all 4 rooms and 2 glamping spots for the day before and the day during the wedding (2 days net) will have this fee waived for photos on the day of the wedding only. This special allowance photo event is for the Bridal Party and immediate Family members. Photoshoots are limited to 12 people unless special permission is acquired from Bienvenue Mon Ami Bed and Breakfast. The times must also be cleared with Bienvenue Mon Ami Bed and Breakfast.
  • For any day of wedding photo shoots where the 4 rooms and 2 glamping sites have NOT been rented by the wedding party, the photo fees ($250 1st hour + $100 for each 30 minute increment beyond an hour) will apply.
